Volunteer Position Descriptions
Volunteers are expected to check in with our volunteer coordinators, Mary Catherine Zito and Hayley Hosey, at the designated sign in table at least 15 minutes prior to the start of the meet.
The list of volunteer positions and definitions are:
Announcer (1 per shift)
“Broadcaster” of the swim meet. The announcer is responsible for keeping the meet moving in a timely fashion. The starter will instruct the swimmers to “take your mark.” After the swimmers are still and in ready position, the starter will beep the horn to start the race. The starter must have swim knowledge and know the order of swim events and how to combine heats.
Bull Pen Parents (2 per shift)
These individuals are responsible for helping coaches keep our swimmers within their designated area next to the pool. Ensure swimmers are ready for their upcoming events.
Clerk of Course (2 per shift)
These individuals are responsible for gathering swimmers for the next 2-3 events and lining them up by heat.
Computer (1 per shift)
These individuals will input the swimmers' times in the computer system. Training is required for this position. Please request training if you would like to sign up for this position.
Event/Heat Tracker (1 per shift)
Responsible for turning the Event/Heat tracker placed near the announcers table.
Head Timer (1 per shift)
Confirm to announcer all lanes are ready to start each race. Has 2 stop watches that must both start at the sound of the horn. If a timer's stopwatch "malfunctions" the head time runs one of their stop watches to the timer in need.
Heat Ribbons (1 per shift)
Hand out heat ribbons to Shrimp, 7-8 and 9-10 first place heat winners.
Runner (1 per shift)
Runs timer sheets (from timers) and DQ Slips (from judges) to computer area during the meet.
Stroke & Turn Judges** (2 per shift)
Responsible for ensuring that all swimmers obey the rules for the stroke they are swimming and adhering to the start/finish and turn guidelines. There are 2 judges (one per team) on each end of the pool (4 total judges). If there is a violation, the judge will be responsible for recording a DQ (disqualification) slip. A DQ slip can only be recorded if BOTH judges see the penalty and agree. The DQ slip is then forwarded to the coach/team manager and scorekeepers table.
**This position requires video instruction prior to swim meet. There are a total of 7 videos. The Start: Philosophy & Protocol, Officiating Butterfly, Officiating Breaststroke, Officiating Freestyle, Officiating IM, Officiating Relays, and Officiating Backstroke.

Timer (6 per shift)
Timers are provided with a stopwatch at the meet and are required to attend a brief meeting with the head timer prior to the meet start. Timers start their watches on the air horn sound and stop their watches when the swimmer touches the wall. Both times are recorded. The scorekeeper enters both times and the final time is an average of the two.
